Balanced Body & Wellness, PLLC is a boutique functional medicine and wellness practice serving men and women through root-cause care, metabolic health, hormone optimization, and concierge-level patient support. We are seeking a dependable, proactive, and detail-oriented Administrative Assistant who can support daily operations, help maintain a high-quality patient experience, and assist with digital and social media tasks.

This role is ideal for someone who is organized, confident with technology, comfortable in a faith-forward environment, and able to manage both administrative and creative tasks with excellence.

?? Position Summary

The Administrative Assistant will support the clinic by preparing patient charts, managing communication channels, assisting with scheduling workflows, creating simple branded materials, and ensuring the operational flow stays smooth. The ideal candidate is dependable, flexible, tech-savvy, and able to handle tasks without constant supervision.

?? Work Schedule

Part-Time: Tuesdays, Wednesdays, and Thursdays

Hours: 9:00 AM – 1:00 PM (4 hours per day)

In-person or hybrid depending on needs

?? Compensation

Paid twice monthly (15th and 30th)

Additional paid opportunities for vendor events, workshops, and community pop-ups (flat rate or hourly depending on event)

?? Key Responsibilities

Administrative & Patient Support

Prepare charts in Electronic Medical Record and ensure patients are added to the correct workflows

Manage emails, portal messages, and social media inboxes (non-clinical questions only)

Send patients correct forms, links, instructions, and follow-up communication

Organize digital documents and ensure files are correctly labeled and stored

Assist with scheduling, reminders, and follow-up tasks

Upload documents into patient charts and Trello tasks

Perform general office duties to support daily operations

Digital & Creative Support

Must be technologically proficient and able to use Excel, Word, Canva, and digital workflows confidently

Create branded documents, flyers, and simple patient-facing materials

Schedule and post content across multiple social media platforms

Assist with online marketing tasks as assigned

Help maintain a consistent professional presence online

Communication & Professionalism

Represent Balanced Body & Wellness with kindness, professionalism, and strong communication

Maintain confidentiality of all patient information and proprietary materials

Uphold clinic values and contribute to a supportive environment

?? Required Skills & Qualities

Technologically proficient (Excel, Word, Canva, email management, social platforms)

Strong written and verbal communication skills

Comfortable in a faith-forward workplace 

Highly organized and detail-oriented

Able to work independently with minimal supervision

Dependable with consistent attendance

Professional, warm, and patient-centered

Ability to create simple branded materials and manage digital content

Comfortable learning new systems (Trello, Healthie, automations)

?? Experience

Prior admin or customer service experience preferred

Experience in healthcare, wellness, or functional medicine is a plus

Social media management or content scheduling experience is helpful

Must be comfortable using technology daily
